An apostille is a stamp, or an attached page, that certifies the origin of a public document: the signature, the capacity of the signatory and the seal. It is written in the language of the authority that applies it. When the document travels to another country, most authorities want to understand this mention too: it is then translated with the document it accompanies. We translate the apostille; the competent authority of the country of origin issues it.

Apostille, legalisation: what are they?

The Hague Convention of 5 October 1961 replaced, between the countries that ratified it, the long chain of legalisation with a single formality: the apostille, applied by an authority each state designates, as the case may be a court, a ministry or a specialised body.

For a country that has not signed, legalisation remains the rule: the document is generally certified by the foreign ministry of the issuing country, then by the embassy or consulate of the destination country. Each step adds a stamp to be translated.

Why the apostille is translated with the document

A foreign authority receiving an apostilled birth certificate, degree or judgment first checks the apostille: who issued it, when, under what number, for which signatory. If this mention stays in a language it cannot read, the file is often judged incomplete, even when the document itself is translated.

The ten fields of the apostille are standardised by the convention: country, signatory, capacity, seal, place, date, authority, number, stamp, signature. The translator renders them in that order, together with the text of any legalisation stamps.

The order of steps and what to send

In most cases the original is first apostilled or legalised, then everything is translated, document and apostille, in a single translation. Some countries also ask for the apostille of the translation itself: check with the receiving authority before you begin.

Send a photo or scan of every page, the back included if the apostille is stamped there, and the attached sheet if it is stapled. An electronic apostille is sent as a PDF with its verification code, reproduced in the translation.

Price of translating an apostille

An apostille on a separate page or a series of legalisation stamps counts as one page at €30. With a one-page certificate, the whole comes to €60; the apostille alone can also be ordered if the document is already translated.

The usual delay is 24 to 48 hours by e-mail, with the Fast (24 h, +€15) and Express (12 h, +€30) options. The certified paper copy, to be presented with the apostilled original, is sent by post for €8.

To check before ordering

Make sure the destination country is a party to the Hague Convention and that no bilateral agreement waives every formality: between some states a civil status record circulates without apostille or legalisation. Only the translation of the document is then useful.

Questions about translating your apostille and legalisation

Do you issue the apostille?

No. The apostille is issued by the authority each state designates for public documents issued on its territory, and legalisation by the competent ministries and consulates. Our role is to translate the apostille or the legalisation mentions, generally together with the document they accompany, through a certified translator.

Should the apostille come before or after the translation?

Most often the apostille is attached to the original document, then everything is translated. Some countries also require an apostille on the translation, or only the translation of the apostille. Rules vary by destination and body: check the exact instruction with the authority that will receive the file before ordering.

My document is already translated: can I have the apostille translated alone?

Yes. Send the apostille or the legalisation pages, stating in the Additional information field which document they relate to. The translator translates them separately, on a certified page. Then present both translations with the original, so the authority can easily link them.

What is the difference between an apostille and legalisation?

The apostille is a single formality used between states party to the 1961 Hague Convention. Legalisation applies to other countries: it generally chains several stamps, from the ministry of the country of origin to the consulate of the destination country. In both cases, each mention added can be translated.
