A payslip proves a regular income and a current job. A consulate, the Home Office, USCIS, a bank or a landlord abroad asks for it whenever it has to measure your resources, and it wants to read it in its own language. Each month is a separate document, with its own contributions, year-to-date totals and net pay, which the certified translator reproduces line by line.

Who asks for translated payslips

A consulate or immigration office usually reviews the payslips of recent months for a spouse visa, a visitor visa or a family application, and the same goes for a sponsor or guarantor living abroad, whose income also has to be understood. Universities sometimes ask for a parent's payslips as proof of funds.

An employee moving from France to the United Kingdom, the United States, Canada or Australia shows translated payslips to rent a flat, take out a loan or have their seniority recognised by a new employer.

A translation faithful to the pay table

A payslip is first of all a table. The translator keeps its columns (base, rate, employee share, employer share) and translates every line: base salary, overtime, bonuses, benefits in kind, health, pension and unemployment contributions, income tax withheld at source, net before tax, net pay. Abbreviations such as CSG, CRDS or URSSAF are kept and explained in square brackets at first occurrence.

The employer, its company number, the activity code, the collective agreement, the job title, the pay period and the annual totals are translated as well. Amounts stay in euros, or in the currency of the original, with no conversion.

Which months to send, and in what form

A clear photo or the PDF supplied by the employer is enough. Check that all four corners of the payslip show and that the small print of the contributions stays legible: that is where photos taken at an angle lose figures.

Only have the months required by the authority translated, most often the last three, sometimes six or twelve for a loan. A December payslip, which shows the whole year's totals, can sometimes replace several months, so ask the receiving body before ordering.

Price for a batch of payslips

A payslip almost always fits on one page and therefore costs €30. Three months come to €90, six months to €180 and twelve months to €360.

The batch is delivered by e-mail within 24 to 48 hours. If a deadline is close, the Fast option (24 h, +€15) or Express (12 h, +€30) can be added to the order. If the authority wants stamped paper copies, postal delivery costs €8.

Consistency with the rest of your file

Authorities compare payslips with the employment contract, the employer's letter and the tax assessment. Put these documents in the same order: the job title, the employer's name and the amounts will be rendered identically everywhere, which avoids a request for clarification.

Questions about translating your payslip

How many payslips do I need to have translated?

It depends on the authority. An embassy or the Home Office usually asks for the last three months, while a foreign bank assessing a mortgage may want six or twelve. Check the official list before ordering: each payslip counts as one page, and translating months nobody asked for only raises the bill without making your file any stronger.

Are French abbreviations such as CSG or URSSAF translated?

Abbreviations are kept exactly as printed on the payslip and explained in square brackets the first time they appear, for example contribution sociale generalisee, a French social levy, for CSG. The foreign reader understands each deduction, while the officer comparing the translation with the original finds exactly the same labels.

Is a payslip downloaded from an online portal accepted?

Yes. The PDF issued by the employer or stored in your online payroll account is often clearer than a photo of paper and carries the same information. Send it as it is, without cropping. The certified translator works from that file and certifies the translation whatever the original format was.

Are the amounts converted into another currency?

No. The translator reproduces the amounts in the currency of the payslip and only adapts the decimal format if the target language needs it. Conversion is up to the receiving body, which applies its own exchange rate on the date it chooses. A conversion added by the translator would not be recognised anyway.
