An invoice looks simple to read, but a customs office, an insurer or a foreign judge has to be able to check every line: seller, buyer, goods, price, tax. When it is used as evidence outside the country that issued it, a certified translation makes it a document the receiving body can examine without an interpreter.

Customs, insurance, disputes: common situations

Importing a vehicle or valuables into another country often comes with the purchase invoice translated, to calculate duties or to justify relief when moving house. An insurer asks for the invoice of items stolen or damaged abroad, a health insurer or an employer for that of medical or travel costs incurred outside France.

Before a commercial court or in a collection procedure against a foreign customer, the unpaid invoice is the central document. It is also used for a tax refund, a manufacturer's warranty or an estate that includes goods bought in another country.

An invoice translated line by line

The translator renders the seller's header, tax and registration numbers, the invoice number and date, the buyer's address, then each item with its description, quantity, unit price, any discount, the tax rate and amount, and the totals before and after tax.

Payment terms, late-payment penalties and the legal notices at the foot of the page are translated too, because they matter in a dispute. Product references, serial numbers and customs codes are copied as they are; amounts stay in the invoice currency.

Preparing the invoices

A photo or the PDF received by e-mail is enough, provided the total and the invoice number are legible. Thermal till receipts fade quickly: photograph them without delay, flat and well lit.

For a file of several dozen invoices, ask the authority whether it accepts a summary or only the largest ones. Then group the files in one order and state the total number of pages.

The price of a translated invoice

Most invoices fit on one page: €30 each. A detailed three-page garage or building-work invoice comes to €90, a batch of five one-page invoices to €150.

A detail that avoids a rejection

Check that the invoice is made out in your name or your company's. An invoice in a third party's name rarely proves your ownership or expense; you then need to attach evidence of the link, such as a transfer statement, to be translated as well.

Questions about translating your invoice

Can an electronic invoice without a stamp be translated?

Yes. Most invoices are now issued as PDFs, with no signature or seal, and remain valid documents. The certified translator translates the content of the file and applies their own stamp to the translation. It is then up to the receiving body to decide whether the original invoice is enough as evidence.

Are the amounts before tax and the VAT adapted to the destination country?

No. The translation reproduces the tax rates and amounts as they appear on the original, with the name of the tax explained in square brackets if needed, for example value added tax. No recalculation or conversion is made: the translation must remain an exact reflection of the source document.

Do the general terms on the back have to be translated?

Only if the receiving body asks, which happens mostly in a commercial dispute where a payment or warranty clause is contested. For customs clearance or an insurance claim, the front side is generally enough. If you include it, the back counts as one more page at €30.

How are technical descriptions translated?

Product descriptions are translated with the technical vocabulary of the sector, but brands, part numbers, serial numbers and customs tariff codes are reproduced identically. That way customs or the insurance assessor can match each line to the actual item, with no risk of confusion between two articles.
